Terms of use

Provider and contact

1. Scope and agreement

The available features, licence allowance, fees, contract term, termination, support and any service commitments are set out in the individual agreement. The website calculator is an estimate, not an order. Microsoft approval, deployment of the add-in and acceptance of an invitation do not by themselves conclude a paid subscription.

2. Microsoft environment and approval

Use requires a suitable Microsoft 365 environment, supported Outlook clients and the required approvals by your organisation. The Admin Center sign-in application is separate from the application for directory data and Autoreply. Microsoft consent applies to the requested permissions; it does not create promptworkz users or assign local administrative roles. Your organisation remains responsible for its Microsoft access, assignment and sign-in policies.

3. Users and account security

Use only your authorised personal account. Do not share passwords, invitations or authenticator secrets. Administrators must grant only the permissions needed and block access when it is no longer authorised. Microsoft-linked accounts use their linked identity and the additional promptworkz MFA step. Report suspected account compromise promptly to the contact above.

4. Service providers and licences

Service providers may create and manage their own customers within the licence allowance granted to them. This grants no access to other customers or platform-wide permissions. Changing assignments or customer licence limits does not increase the overall allowance agreed with promptworkz.

5. Content and permitted use

Your organisation is responsible for the accuracy and lawful use of company details, personal information, images, links and templates it provides. Upload only content you are authorised to use. Do not use the service for unlawful content, impersonation, unauthorised access, bypassing access or licence restrictions, or attacks on the service. Review signature and Autoreply previews before use.

6. Personal data

The privacy notice explains processing for the website, setup and accounts. Processing of your organisation’s employee and customer data must be covered by the appropriate data-processing agreement and instructions. These terms and Microsoft consent do not replace that agreement or a lawful basis for processing.

7. Availability, blocking and termination

Availability also depends on Microsoft, your hosting and network environment, supported clients and your organisation’s configuration. No specific availability or support response time is promised on this page. Access may be restricted where necessary to address a concrete security incident or unauthorised use. Archiving blocks use but preserves data; it is not deletion. Arrange export and deletion through your authorised administrator and promptworkz when service ends. Statutory rights and individual agreements remain applicable.
